How We Test and Review Software

Our testing methodology — explained in plain English.

Every review on SoftwareSift starts with the same question: Would I recommend this to a friend who runs a small business? That’s the frame behind everything we do. This page explains how we get to that answer.


Step 1: We Sign Up and Start Fresh

Before we write a single word, someone on our editorial team creates a real account — using the same free trial or paid plan that any small business owner would access. We don’t use vendor-provided sandbox accounts or pre-loaded demo environments. If the onboarding is confusing, we experience that confusion. If customer support is hard to reach, we find out firsthand.

For tools with no free trial, we either purchase a subscription or, in some cases, use publicly documented features supplemented by structured user research.


Step 2: We Test Against a Standard Scenario

We don’t just click around. We run each tool through a set of standardized use cases designed to reflect how a real small business would use it. For a CRM, that means importing contacts, setting up a pipeline, logging activities, and testing automations. For accounting software, that means creating invoices, connecting a bank account, running a basic report, and generating a document you’d actually hand to an accountant.

This consistency means our scores are comparable across tools in the same category.


Step 3: We Score on Five Criteria

Every tool is rated across five dimensions on a 1–5 scale. These scores roll up into an overall rating.

1. Ease of Use (25% weight)

Can a non-technical small business owner get up and running without hiring a consultant? We look at onboarding flow, UI clarity, help documentation quality, and how long it takes to complete core tasks. Tools that require a learning curve get credit for providing good support materials — but we note the curve exists.

2. Value for Money (25% weight)

Does the price match what you get? We look at the full pricing structure: starting price, what’s included at each tier, what’s locked behind higher plans, and whether the features that matter most to small businesses require an expensive upgrade. A tool that’s $15/month with everything you need scores higher than one that’s $10/month but requires three paid add-ons to be functional.

3. Feature Depth (20% weight)

Does the software do what it claims, and does it do it well? We test core features thoroughly and note where functionality feels shallow, buggy, or incomplete. We also look at whether the features are actually useful for small businesses — a tool with 200 features you’ll never use isn’t better than one with 20 you’ll use daily.

4. Customer Support Quality (15% weight)

What happens when something breaks? We contact support via whatever channels are available (chat, email, phone) and evaluate response time, accuracy, and helpfulness. We note whether live support is available on lower-tier plans or locked behind premium pricing.

5. Integrations (15% weight)

Small businesses run on a stack of tools. We evaluate how well the software plays with the most common ones — Stripe, QuickBooks, Gmail, Zapier, Slack, Shopify, and others relevant to the category. Native integrations score higher than Zapier-only workarounds.


How We Determine “Best For” Recommendations

An overall score is useful, but not every tool is right for every business. At the end of each review, we call out who the tool is actually best for — and who should look elsewhere. A tool can have a 4.2 overall rating and still not be the right fit for a solopreneur on a tight budget. We make that clear.


Our Review Update Schedule

Software changes fast. Pricing changes. Features get added or removed. We review and update our content on the following schedule:

  • Top picks and category round-ups: Reviewed every 6 months
  • Individual tool reviews: Reviewed every 12 months, or sooner if there’s a major product change
  • Pricing data: Verified monthly — pricing is the most volatile piece of any review

Each review displays the date it was last updated. If you notice something that’s out of date, let us know.


How We Handle Affiliate Relationships

We earn commissions from some of the tools we review. Here’s how that works — and how it doesn’t affect our rankings.

What we do:

  • Disclose affiliate relationships on every page that contains affiliate links
  • Maintain a strict separation between editorial decisions and revenue considerations
  • Score and rank tools before considering whether they have an affiliate program

What we don’t do:

  • Accept payments to improve a tool’s ranking or score
  • Write positive reviews in exchange for affiliate partnerships
  • Give preferential placement to tools with higher commission rates

A tool with no affiliate program can — and has — earned a top pick from us. A tool with a generous commission has received a poor score when the product didn’t hold up. The affiliate income is a byproduct of giving good advice; it can’t be the other way around without destroying the site’s value entirely.

What We Don’t Review

To keep our standards high and our focus relevant, we don’t cover:

  • Enterprise software not designed for teams under 20
  • Tools with no English-language interface or US-based support
  • Software that’s been discontinued or is in public beta with no stable release
  • Categories outside our six core verticals (for now)
